Frequently Asked Questions
What’s the difference between TaskBlink’s pricing packages, and how scalable are they?
TaskBlink offers two main pricing plans designed for different agency sizes and growth ambitions:
Growth Plan ($297/month)
Ideal for: Solo entrepreneurs and small agencies starting to automate their outreach.
Leads: 3,000/month (businesses without existing websites).
Texting Infrastructure: Uses TaskBlink’s built-in SMS system, with optional registered or unregistered numbers.
Costs: $0.018 per SMS segment and $0.0125 per AI-generated reply.
Core Features: Mass SMS outreach, calendar integrations, CRM, automation builder, Google Business Profile scraping, automatic follow-ups, web builder, and ads management.
Scale Plan ($497/month)
Ideal for: Growing agencies and teams looking to rapidly scale their client acquisition efforts.
Leads: 12,000/month (6,000 without websites + 6,000 needing redesigns).
Texting Infrastructure: Option to use your own Twilio account (with up to 10 phone numbers), giving greater flexibility and higher messaging volume. Immediate setup assistance and A2P 10DLC approval are included.
Costs: $0.0125 per AI-generated reply; SMS segments billed directly through Twilio if integrated, otherwise $0.0125 per segment via TaskBlink.
Core Features: Includes all Growth Plan features plus additional lead sourcing for website redesign projects and expanded messaging capabilities.
Scalability (Lead Booster Packs)
Both plans are highly scalable. If your agency requires more than the monthly allocation of leads, TaskBlink offers affordable Lead Booster Packs:
Lead Booster Packs: Add 1,000 extra leads per month per pack (your choice of core or redesign leads) for just $65/month each. You can incrementally scale your outreach without changing your subscription plan.
TaskBlink’s infrastructure is designed to effortlessly support this scaling, whether you’re sending hundreds or thousands of messages per day. With advanced automation, integrated calendar systems, and robust CRM features, TaskBlink seamlessly accommodates your growth, from managing modest lead volumes to handling extensive national campaigns.
How exactly does TaskBlink's money-back guarantee work?
TaskBlink offers a straightforward, risk-free money-back guarantee: we promise at least three booked appointments within your first month of using the platform. If TaskBlink doesn't meet this promise, simply contact our support team, and we’ll provide a full refund of your first month, no questions asked. Additionally, you’re never locked into a long-term contract. Our plans operate month-to-month, giving you complete freedom to upgrade, downgrade, or cancel at any time. We believe in earning your business by delivering real, measurable results, not by restricting your flexibility.
Leads & Outreach
How does TaskBlink source its leads?
TaskBlink uses a combination of intelligent data sourcing and AI to find high-quality leads that fit your ideal client profile. Our platform taps into real-time business data to identify companies that are likely to need web development services, and then we gather their contact information for outreach. Here’s a closer look at how we source leads:
Google Business Profiles Scraping: We leverage public data from Google. TaskBlink can “scrape Google Business Profiles for free” as part of the lead generation process. This means we scan Google’s listings for businesses (for example, local businesses in specific categories or locations) to find those that meet certain criteria, such as having no website listed, or having a website that looks outdated. Google’s data often provides business name, phone number, address, and sometimes a website link if they have one. By focusing on those with missing or subpar websites, we zero in on likely prospects for your agency.
AI Filtering and Targeting: Finding raw data is one step; the next is ensuring those leads are relevant. We use AI algorithms to filter and qualify the list of potential leads. For example, the AI might analyze the business’s existing business profile or website (if any) to gauge its age. It might look at the business’s industry keywords to see if it aligns with the types of clients you want. We also factor in your preferences (see the FAQ on choosing lead types), like location or niche, to narrow down the list. The result is a curated set of leads that are “ready-to-buy prospects” from the standpoint of needing web development help. In other words, these are businesses where there’s a strong indication they could benefit from your services.
Quality Checks: Before we start outreach to a lead, TaskBlink ensures the contact info is valid (for instance, we have a valid phone number for SMS, or an email address if needed). We aim for high deliverability in our campaigns, so our system might skip or replace leads that appear to have bad contact data. Additionally, leads that respond and engage are labeled appropriately in the CRM, so over time you’ll see which sources are yielding the best results, and the AI can learn and adjust sourcing strategies.
All of this happens behind the scenes daily. On the $297 plan you get 100 new leads each day, and on $497 it’s 400 a day, pulled automatically by our system. You don’t have to manually research or upload new prospects, TaskBlink continuously feeds your pipeline.
And importantly, these leads are exclusive to you. If we’re sourcing leads for your agency, we’re not giving the same contacts to another client in your area or anything like that. We treat it as your lead list. By leveraging technology to handle the tedious parts of prospecting, finding and qualifying potential clients, TaskBlink lets you focus on connecting with those prospects and winning their business. It’s like having a research team working for you every day to uncover the next opportunities for your agency.
Can I decide what types of leads are sourced (e.g., new sites vs. redesigns)?
Yes, you have a say in the types of leads TaskBlink sources, we tailor lead generation to match your target client profile as much as possible. During the onboarding and setup process, we’ll ask you about your preferences for leads, and we configure the system accordingly. Here are some of the criteria you can influence:
Industry or Niche: If your web agency specializes in certain industries (for example, maybe you create websites mainly for restaurants, salons, law firms, etc.), you can let us know. We will focus lead sourcing on those industries. TaskBlink’s scraping and AI can filter businesses by categories, so you get leads more likely to need your specific expertise. If you don’t specify, we might start broadly with common small-business sectors, but honing in on a niche can improve quality.
Geography: You can target leads in specific geographic areas. If you only serve a certain city, state, or country, we’ll source leads from those areas. For instance, if you run a local web design agency in Florida and only want nearby clients, we can concentrate on Florida businesses. Conversely, if you operate nationally or remotely, we can pull leads from across a wider region. It’s up to you – the system can be set to focus on whatever territories make sense for your business.
Company Size or Other Attributes: Perhaps you only want to work with businesses of a certain size (e.g., companies with 10-50 employees, or solo entrepreneurs, etc.), or maybe you find that certain types of businesses are more lucrative for you (e.g., e-commerce stores vs. brick-and-mortar). While we primarily use publicly available info, some of these attributes can be inferred and used for filtering. We’ll do our best to align with the profile you describe. For example, if you say “I prefer established businesses that likely have a marketing budget, over brand-new startups,” we might avoid very new micro-business listings and focus on those that have been around a while or have indications of size (like multiple reviews on Google, etc.).
Web Presence Status: This is a big one for web development leads. You can choose whether you want to prioritize businesses with no website at all versus those with an outdated/poor website. TaskBlink can source a mix of both by default, but if, say, you have a special package for businesses starting from scratch, you might want mostly those with no site. Or if you do a lot of redesigns, you might target those who have sites older than X years. We can adjust our criteria (using things like the presence or absence of a URL in their Google listing, or analyzing site technology for age) to skew the leads accordingly. Most agencies find a blend is good – some low-hanging fruit with no site, and some higher-end projects from redesigns. But the choice is yours to emphasize one or the other.
During onboarding, our team will typically ask you questions about your “ideal client.” We’ll ask about the above points and any other preferences you have. Based on that, we set the filters in our lead generation engine. And it’s not set in stone – if you find the leads coming in are not quite the right fit, we can tweak the criteria. For example, you might say, “I’m getting a lot of restaurants, but I really want more professional services firms.” We can then adjust to target, say, law offices, accountants, consultants, etc.
Keep in mind, the more specific your targeting, the potentially smaller the pool of available leads. So there’s a balance – we’ll advise if we think broadening or narrowing your criteria will affect volume. But ultimately, we want the leads to be valuable to you, not just high in quantity. So we’re happy to focus on the types that matter most to you.
In summary, you definitely can (and should) decide on the type of leads you want. TaskBlink is not a one-size-fits-all spray of random contacts; it’s a targeted lead gen service. By communicating your preferences, you guide our AI to hunt for businesses that match those parameters. This ensures that when outreach happens, the context makes sense (e.g., messaging tailored for that industry) and that the prospects you talk to are more likely to convert into clients for you. We consider your input crucial in crafting a high-performing campaign.
Can I import or use my own leads, and do I fully own the leads TaskBlink sources?
Yes, you can absolutely import or use your own leads within TaskBlink. Whether you have existing contacts, lists from networking events, past inquiries, or leads from other sources, you can easily add them into the TaskBlink CRM by uploading a CSV file or entering them individually. Once imported, these leads integrate seamlessly into our automated outreach sequences, receiving personalized SMS and email messages just like the leads TaskBlink sources for you.
All leads sourced by TaskBlink are exclusively yours. We never share or resell these leads to other clients or competitors. This exclusivity ensures the prospects you connect with through TaskBlink remain proprietary to your business. You have full ownership and access to all the lead data, including contact information, conversation histories, and notes stored in the CRM. If needed, you can export your leads at any time to use them outside of the TaskBlink system.
You maintain complete control over your leads, whether sourced by TaskBlink or imported by you. This means you can manage, nurture, and market to these leads continuously, even beyond TaskBlink’s automated follow-ups. There are no extra fees for importing your own leads; they simply become additional prospects within your outreach pipeline. TaskBlink's role is to help you identify, engage, and convert these leads into valuable clients—ensuring your prospect database remains secure, manageable, and beneficial for your business growth.
How does TaskBlink ensure the quality of its leads?
TaskBlink ensures lead quality through careful targeting, intelligent pre-qualification, and continuous filtering so that you spend time only with genuinely interested prospects. We understand that quality matters more than quantity; getting 100 random leads is useless if none convert. That’s why our approach emphasizes delivering “ready-to-buy” leads who have a real need for your service and have shown interest by engaging with our outreach. Here’s how we maintain high lead quality:
Smart Targeting from the Start: As described earlier, our lead sourcing isn’t random. We specifically look for businesses that fit the profile for needing web development. For example, we target industries that frequently lack good websites or find businesses with outdated sites. By starting with likely candidates (like a dentist office with a 10-year-old website, or a new boutique with no site at all), we inherently have a higher chance that they will be receptive to your offer. We also take into account any criteria you provide (desired industries, business size, locations, etc.), so the leads align with your ideal customer profile. This focused approach means the list of leads we contact on your behalf is curated for relevance, not just a generic list of all businesses.
AI-Powered Pre-Qualification: One of TaskBlink’s standout features is that it “instantly contacts new leads, pre-qualifies them, and books them directly into your calendar—so you only speak with serious leads.” What this means is that when a lead responds to our outreach, the AI engages them in a conversation to gauge their interest and suitability. For example, the AI might ask if they’re interested in improving their website, or if now is a good time to discuss their online presence. If a lead expresses disinterest or says they already have a great website, the AI can gracefully exit or mark them as not interested. But if they indicate pain points or curiosity, the AI continues the conversation, provides information, and eventually suggests booking a call. By the time a meeting is scheduled, the lead has essentially qualified themselves by agreeing that they want to talk about our web dev offer. This screening ensures you aren’t getting on the phone with people who have zero interest or need. You’ll be speaking to those who at least have acknowledged a problem or desire that you can solve.
Quality Over Quantity in Appointments: Our policy and guarantee (3 appointments in first month or money back) also enforces quality. We wouldn’t count it as a “booked appointment” for the guarantee if, say, the person was tricked or not actually interested. The appointments are with leads who know why they’re meeting you, they genuinely want to discuss improving their website or online presence. We strive to make those meetings worthwhile. As evidence, clients often report that prospects coming through TaskBlink are “warm leads” who are impressed by the outreach professionalism. That professionalism (AI sending thoughtful, human-like messages) sets a positive tone, meaning by the time you talk to them, they’re already fairly open and positive about you.
Continuous Cleaning and Updates: Lead quality is also maintained by updating the lead list and removing bad entries. If a phone number is found to be wrong or a lead opts out/unsubscribes, the system stops contacting them. If a particular type of lead is consistently unresponsive or low quality, we adjust our targeting algorithms. Essentially, TaskBlink learns and improves. Over time, you might notice the quality go even higher as the AI adapts to which leads responded well in the past. Additionally, because the leads are exclusive, we’re not burning through them by having multiple people pitch them the same week. They get a dedicated, respectful approach from you via TaskBlink, which keeps them receptive.
Transparent Metrics: Finally, you have full visibility into lead interactions via the CRM. You can see transcripts of what the AI is saying and how leads respond. If you ever feel the quality isn’t up to par, you can review those conversations and give us feedback, maybe we need to adjust the messaging or lead criteria. We’re committed to working with you to hit the right balance of quantity and quality. Remember, we want you to “only speak with serious leads.” It’s literally part of our value prop, so we’ve engineered the system at every step to filter out the noise and deliver real opportunities.
By combining smart sourcing, AI-driven qualification, and constant refinement, TaskBlink makes sure that the leads you engage with are worthwhile. The outcome is that your sales time is respected, you’ll be talking to business owners/managers who have a genuine interest in getting a new or better website, making your sales process much more efficient.
Can I customize the outreach messages sent to potential leads?
Yes, you have complete control to customize the outreach messages TaskBlink sends on your behalf. While we strongly recommend using one of our proven message frameworks for your initial offer message, you do have the ability to tweak and adjust your messaging to align authentically with your brand. However, it’s important to note that making significant changes to the initial offer message could potentially void TaskBlink’s guarantee, as these changes reduce our control and ability to ensure success based on our established track record.
Should I offer a guarantee when doing cold outreach?
Offering a guarantee in your cold outreach isn't mandatory, but it can significantly boost your conversion rates by addressing one of the primary reasons potential customers hesitate to invest in a website—they doubt it will generate tangible results. Including a clear, results-oriented guarantee in your offer can powerfully alleviate this hesitation by demonstrating confidence in your service and directly addressing the client's underlying concern: "Will a website actually benefit my business?"
Why Guarantees Work: Many businesses without websites remain hesitant because they're unsure a website will bring actual value, like increased leads, traffic, or sales. By guaranteeing measurable outcomes—such as a certain number of form submissions, new client inquiries, or website traffic—you directly address their core doubt and make your offer irresistible.
Types of Effective Guarantees:
Performance Guarantees: For example, "We guarantee your new website will generate at least 10 qualified leads per month or we'll manage your marketing for free until it does."
Traffic Guarantees: "Guaranteed monthly traffic or your money back—no questions asked."
Satisfaction or Timeline Guarantees: These reassure clients on the quality and reliability of your service, such as "Your website built in 30 days or it’s free."
Structuring Your Guarantee: Guarantees don't have to be risky if structured correctly. Consider offering guarantees as an upsell included only in higher-tier monthly packages. This allows you to charge appropriately, ensuring you have the resources to achieve these results—for instance, using some of the additional revenue to fund PPC campaigns or paid advertising that reliably delivers the promised outcomes. This approach turns your guarantee into a highly profitable value-add rather than a financial risk.
Pros of Offering Guarantees:
Reduces Client Risk: Eliminates one of the biggest objections in your sales process.
Differentiates Your Offer: Many competitors shy away from guarantees, helping you stand out significantly.
Boosts Conversion Rates: Clearly stated guarantees often double or even triple engagement and conversions, making your sales funnel dramatically more efficient.
Cons and Considerations:
Guarantees tied to specific outcomes (like leads or sales) can be somewhat dependent on factors outside your direct control, so you must carefully structure and clearly communicate conditions.
Be ready and willing to fulfill the guarantee professionally if necessary. Offering a refund or additional free services occasionally is worthwhile if it substantially increases your overall conversions and customer lifetime value.
Practical Example in Messaging:
An outreach message could say, “We build websites that actually grow your business—we guarantee at least 3 qualified leads each month, or you don’t pay.”
Such clear, outcome-focused statements compel prospects to engage.
Summary: Offering a results-focused guarantee can significantly boost response rates and conversions in your cold outreach. While not mandatory, guarantees effectively address customer skepticism and demonstrate confidence in your service. TaskBlink can guide you in crafting compelling, realistic guarantees that resonate with your target audience and enhance your sales process.
What typical conversion rates do TaskBlink clients see?
Conversion rates in cold outreach can vary significantly based on factors like the initial offer message, your target audience, and any guarantees offered. TaskBlink’s automated approach is specifically designed to maximize engagement and outperform typical industry benchmarks. While exact results can vary, here are realistic guidelines and common results you can expect from our system:
Response Rate (Lead to Conversation): Typical response rates for TaskBlink’s SMS-based outreach range from about 2.5% to 8% (Initial offer will make this range vary). This performance surpasses traditional cold email campaigns, which often see reply rates around 1–5%. Due to SMS having exceptionally high open rates (approximately 98%), combined with our AI-driven personalization and timely follow-ups, TaskBlink effectively boosts engagement above standard industry norms.
Appointment Rate (Message to Booked Appointment): Depending on your initial offer message and the specific guarantee provided (if applicable), the number of messages needed to secure a booked appointment generally ranges from 200 to 1,000 messages. This translates roughly to an appointment booking rate of 0.1% to 0.5% from initial outreach to booked meetings. In practice, most clients experience improved booking rates as campaigns mature and optimize over time.
Sales Conversion (Appointment to Closed Deal): The close rate on booked appointments largely depends on your agency’s sales skills and service alignment with client needs. TaskBlink provides pre-vetted, qualified leads interested in discussing your services, significantly enhancing your chances of successful conversions compared to traditional cold calls. The actual close rate varies based on your current performance metrics and historical results from existing cold outreach strategies.
TaskBlink’s strength lies in optimizing metrics within our control, such as message response and appointment booking rates. The system uses industry best practices, including multiple touchpoints and automated follow-ups, to ensure no lead is missed or forgotten. Detailed analytics provided by TaskBlink also enable continuous performance optimization, allowing you to adjust messaging or targeting as needed.
In summary, while precise figures will vary, TaskBlink typically generates engagement and appointment booking rates at the higher end of cold outreach norms. With continuous optimization, clear analytics, and strategic adjustments, the platform consistently provides a reliable pipeline of new business opportunities tailored to your agency’s growth objectives.
What results can I realistically expect on the growth plan?
In your first month with TaskBlink, you can expect a significant uptick in qualified prospect interactions – including a guaranteed minimum of three booked appointments. In fact, TaskBlink stands by this promise: “We guarantee a minimum of three booked appointments within your first month, or you don't pay anything!”.
This guarantee sets a baseline, but many clients see even more activity once the system ramps up.Here’s a breakdown of typical first-month outcomes:
Multiple Appointments Scheduled: At minimum, 3 real prospects will be on your calendar to discuss web development services, thanks to our guarantee. These are owners or decision-makers who have responded to the outreach, engaged in conversation, and agreed to a meeting about possibly needing a new website or redesign. Many users end up with more than three – it’s not uncommon to have 5, 6, or more appointments in the first month if the campaign messaging and targeting are well-aligned with your market.
Warm Leads & Conversations: Beyond the booked meetings, you’ll likely have a number of warm conversations underway. Some prospects might respond showing interest but schedule the meeting a bit later, or they request more info first. The AI will handle a lot of those initial conversations, answering common questions and nurturing the lead’s interest. One client noted that “the AI conversations led to several warm leads, and clients were amazed by the professionalism.” – meaning even those who didn’t book immediately were positively engaged and could become future appointments.
Higher Outreach Volume with Less Effort: In the first month, you’ll also see just how many businesses you’re able to reach effortlessly. TaskBlink will be contacting up to 100 new leads each day on the growth plan (or 400/day on scale plan), something nearly impossible to do manually. This often creates a pipeline effect – some leads will respond right away, while others might take a few follow-ups (which TaskBlink will continue to send). By the end of the month, you might have reached out to a few thousand prospects. Even with modest response rates, that sheer scale leads to the handful of solid opportunities mentioned above.
Time Saved and Consistency: Another “result” you’ll notice is qualitative – you’ll reclaim hours of time. Users often feel a sense of relief that outreach is happening consistently in the background. As one client put it, “It felt like we suddenly had a full time sales rep prospecting for us.” The burden of daily prospecting is lifted, letting you focus on conducting meetings and closing deals.
Of course, results can vary depending on factors like your target market, the appeal of your web dev offerings, and seasonality. But the combination of our targeted lead sourcing and AI-driven follow-up tends to produce tangible opportunities right out of the gate. TaskBlink’s guarantee ensures you’re not taking a risk – either you see at least three new prospects genuinely interested in talking, or we’ll refund you. Our track record shows most clients hit or exceed that mark, often turning those early appointments into new paying clients for their agency.
Throughout the first month, our team will also monitor your campaign and can suggest tweaks to improve performance (for example, adjusting messaging if needed to boost responses). By month’s end, you should have a clear sense of momentum: a pipeline of prospects at various stages (some in conversation, some scheduled to talk, maybe even a deal or two closed) – all generated with minimal manual effort on your part. That’s the power of automating your cold outreach with TaskBlink from the very first few weeks.
Using the Platform
What is my role in the system? Can I mess it up?
Your role in TaskBlink’s system is to focus on closing deals and delivering your services – while our platform handles the initial outreach and appointment setting. Think of TaskBlink as an AI-powered sales assistant working alongside you. It will automatically find prospects, send personalized outreach messages, follow up multiple times, and even pre-qualify interested leads for you. Once a lead is ready to talk or book a meeting, TaskBlink puts them straight onto your calendar. This means you step in mainly when there’s a warm, qualified prospect who wants to speak, which allows you to spend your time on high-value conversations instead of chasing cold leads.
It's hard to “mess it up” because the system is designed to be user-friendly and resilient. TaskBlink guides the process with predefined automation and AI, so most routine interactions are handled seamlessly. For example, the AI will handle the back-and-forth of scheduling and reminders, ensuring no lead slips through the cracks. You won’t break anything by using the platform as intended – adding your input when needed and letting the automations run their course. The interface (your TaskBlink CRM dashboard) lets you track all lead communications in one place, so you always have visibility.
Your main responsibilities will be:
Initial Setup & Preferences: During onboarding, you’ll provide info about your business (e.g. your target customer profile, your calendar availability, and any personalized message tweaks). TaskBlink’s team helps configure the system to match your needs.
Monitoring & Responding to Hot Leads: As leads engage, you might occasionally jump in to answer a specific question or take over a conversation if a prospect has unique needs. The platform allows you to manually reply or call a lead at any time. (And don’t worry – if you do so, the AI can be paused for that contact to avoid overlapping messages; see the FAQ on AI responses below.)
Closing the Deals: When meetings are booked with interested prospects, it’s your job to attend those calls, discuss your web development services, and close the sale. TaskBlink gets them to the table, but it’s your expertise that will win the client. As the platform says, “Let AI handle appointment setting so you can focus on selling, managing, and growing your web development business.”
Overall, you’re in the driver’s seat for strategy and final sales, while TaskBlink is the engine under the hood automating the outreach. The system is robust against mistakes – for instance, you won’t accidentally message a lead twice or break a sequence with one wrong click. And if you’re ever unsure, our support team is available to help (so you’re never alone in running your campaigns). By following best practices and the onboarding guidance, you’ll find it straightforward to use TaskBlink without messing anything up.
How does TaskBlink handle appointment scheduling?
TaskBlink streamlines appointment scheduling by integrating directly with your calendar and automating the booking process with leads. The moment a lead indicates they’re interested in speaking with you, our system moves to get a meeting on the calendar without the usual back-and-forth. Here’s what happens:
Calendar Integration: During setup, you’ll connect your preferred calendar (Google Calendar, Outlook, etc.) to TaskBlink. This integration allows the platform to see your availability (timeslots that are free/busy) in real-time. It also prevents double-booking by knowing when you already have meetings or personal blocks. TaskBlink uses this information to offer meeting times to leads that won’t conflict with your schedule.
Automated Scheduling Offers: When a lead in the text conversation says “Yes, I’d like to talk” or otherwise agrees to a meeting, the AI will respond with a scheduling prompt. Depending on how we configure it, this can be done in a couple of ways:
Via Calendar Link: The AI can send the lead your calendar scheduling link (for example, a Calendly or our built-in scheduler link) so the lead can click and choose an available time slot themselves. Since your calendar is synced, any slot shown as available on that link is up-to-date. The lead picks a time and that’s it – the meeting is set.
Via AI Time Proposals: Alternatively, TaskBlink’s AI might propose a couple of specific times in the chat (e.g., “How about Tuesday at 2 PM or Wednesday at 10 AM?”) based on your free times. The lead can simply reply with which works, and the AI will confirm and schedule it. This feels very much like a human assistant coordinating a meeting.
Instant Booking and Confirmation: Once a time is agreed upon, TaskBlink will book the appointment directly on your calendar. You’ll see an event appear, typically with the lead’s name, contact info, and any notes (often the AI will include context like “Website design consultation with [Lead Name] - interested in a new site for their business”). The lead will receive a confirmation as well, usually via text or email, with the details of the call (and a calendar invite if an email was provided). This way, both parties are all set with the meeting info. It’s hands-off for you – no need to send invites or reminders manually.
Reminders & Follow-ups: TaskBlink can also handle sending reminder messages to the lead as the appointment approaches, to reduce no-shows. For example, a day before the meeting, the system might automatically text the prospect: “Hi [Name], looking forward to our chat tomorrow at [Time] about your website needs. ” This keeps the commitment high. If the prospect needs to reschedule, the AI can manage that too, by offering a new time via the same integrated calendar process.
No-Conflict, Real-Time Sync: The phrase on our site “appointments are booked in real time without conflicts” is key. It means if you book something on your calendar, TaskBlink immediately knows those times are off-limits. Conversely, if TaskBlink books something, it’s instantly on your calendar. There’s no lag or manual update needed. This integration ensures trust in the system – you won’t accidentally get double-booked because the AI offered a time slot that was taken.
Overall, TaskBlink acts like a smart scheduling assistant. It removes the need for you to send “What time works for you?” emails or calls. By automating the scheduling, we not only save you time but also capture the lead at their peak interest moment – the meeting is locked in right when they’re most inclined to talk, which can increase the likelihood of them showing up and being enthusiastic.
Many users say this scheduling feature is a game-changer. You wake up, check your calendar, and see new meetings with qualified prospects magically there. And you didn’t have to do a thing except be ready for that call. Of course, you can always adjust your availability settings if there are certain times you don’t want meetings, etc., and the system will respect that. TaskBlink’s goal is to seamlessly bring leads to your calendar while you focus on your core business.
Do I receive text notifications about new leads and appointments?
Yes, TaskBlink can notify you about important events via text (SMS) and/or email, so you stay informed in real time. The platform is built as an all-in-one communication hub, and keeping you in the loop is part of that. Here’s how notifications typically work:
New Lead Responses: When a lead replies to the outreach (for example, responding to an AI-driven text message), you can receive an alert. This could be a notification in the TaskBlink app dashboard and, if configured, a text message to you can be sent for detection of positive sentiment from the client. This way, you can jump into the conversation if needed or simply be aware that the lead is engaging.
Appointments Booked: When a lead books a meeting on your calendar (through the automated scheduling), you will definitely get notified. TaskBlink syncs with your calendar, so you’ll see the new event there immediately. Additionally, the system can send a confirmation email or text to you with the appointment details. You’ll always know when and with whom your next sales call is scheduled.
Missed Calls: When a lead calls you directly, you will be notified if that call is not answered. This ensures you are notified promptly to return their call.
All notification settings are customizable. During setup, you can specify how you prefer to be alerted (text, email, or just in-app). The goal is to ensure you never miss an important interaction, especially given that things can move fast once leads start responding. For example, if a lead answers outside of your business hours, a text notification to your phone can let you know promptly so you can respond or prepare to follow up.
In short, TaskBlink keeps you informed every step of the way. The constant updates give you peace of mind that outreach is happening and results are coming in, without you needing to constantly log in and check. Of course, you can also log into the TaskBlink dashboard anytime to see real-time status of all conversations, but critical events will proactively ping you via your chosen notification method.
Can I use TaskBlink on my phone or tablet?
TaskBlink has a mobile app, the platform is fully cloud-based and mobile-friendly. You can access your TaskBlink dashboard through a web browser on any device – desktop, tablet, or smartphone, and it will adapt to your screen. This means you can manage your outreach on the go: check conversations, respond to leads, and view your calendar appointments right from your phone.
The web interface is designed to be responsive and easy to use on smaller screens. For example, if you’re out of the office and get a notification about a new lead (as mentioned above), you can pull up the TaskBlink portal on your phone, read the conversation, and even reply manually if you want. There’s no need to wait until you’re back at a computer.
Can the AI responses be turned off when I manually reply?
Yes. TaskBlink’s AI will gracefully step aside whenever you choose to take over a conversation, ensuring there’s no confusion or overlap in communication. The system is designed to recognize when a human (you) has intervened, and it will pause or stop its automated responses for that lead accordingly. Here’s how it works in practice:
Manual Takeover: Inside the TaskBlink dashboard (the CRM interface), you can view each ongoing conversation with leads. If you see a conversation where you’d like to personally reply (maybe the AI alerted you that the lead asked a complex question, or you just prefer to handle this one yourself), you can simply start typing your message to that lead. The moment you send a manual reply, TaskBlink’s automation for that conversation is paused. The AI won’t contradict you by sending another automated message on top of yours. Essentially, your manual message tells the system, “I got this now.” You can then continue the chat back-and-forth with the lead as much as you want. If later you want the AI to resume for that contact (say you answered a question and now want the AI to schedule the meeting), you can usually re-enable it with a click, but it will never fight you for control.
Automatic Disable on Reply: TaskBlink is smart about differentiating human vs. AI activity. The platform can detect if you’ve engaged with a contact outside of the AI’s actions. For example, if you call the lead on the phone and mark them as contacted, or if you reply via your own email and log that, you could update the CRM status. In such cases, we generally configure the workflow so that the AI sequence stops to avoid redundancy. The principle is: once a lead is in a human-to-human interaction, the automated sequence stops. You wouldn’t want the AI to, say, send a follow-up text saying “Just checking in…” if you literally spoke to the lead that morning. So as long as the system is updated (either by your manual messaging through TaskBlink or by changing the lead’s stage to “contacted” or “in discussion”), it will halt further AI sends.
One-Click “Mute” or Pause: Additionally, the interface typically provides a way to manually pause or turn off automation for a specific contact or campaign. If you ever feel, “I don’t want TaskBlink to message this particular lead anymore,” you can disable it for that lead. This is useful if, for instance, a lead asks not to be contacted again (the AI would auto-stop in that case anyway and mark them as opted-out) or if you have taken the conversation completely offline. You can also pause entire campaigns if needed, with a master switch, which stops new messages from going out until you resume.
We understand the importance of a seamless experience. If you and the AI both tried to talk to a lead at the same time, it would be confusing (and potentially embarrassing). So TaskBlink defers to you, the human, whenever you intervene. The transition is smooth – to the lead, it’s all one conversation, and they don’t need to know (and often can’t tell) that an AI was involved at all by the time you step in.
A common scenario: The AI engages a lead, answers a few basic questions via text, and then the lead starts asking something more specific like pricing or a technical question. You get notified (because we send you notifications of such inquiries), you decide to jump in. You reply directly either via the app or by texting from your business number. From that point on, the AI will not send any further messages unless you indicate you want it to (like if the conversation goes cold and you want to put them back on a nurture sequence later, which we could do manually). So you can always have peace of mind that you won’t “mess up” by replying – the system is built to accommodate that (as also noted in the “role in the system” FAQ above).
In summary, you’re always in control. The AI is there to assist and automate, but it knows to take a back seat the instant you step into a conversation. This hybrid approach ensures leads get timely, automated responses when you’re hands-off, but they get the personal touch from you when needed, without the two working at cross purposes. If you ever have any concerns about the AI’s behavior in this regard, our support can show you exactly how to manage and toggle the AI interactions, but rest assured it’s designed to be flexible and human-aware.
Billing & Technical
How am I billed for SMS messaging and AI-generated responses?
TaskBlink’s billing for text messages is simple and transparent. You initially fund your account with a prepaid balance of $50. Each SMS segment and AI-generated response costs $0.0125 (1.25 cents). Your usage will automatically deduct from this balance. If your account balance drops below $10, it will automatically recharge by an additional $50 to ensure uninterrupted messaging capabilities.
Pay-as-You-Go Messaging:
Every SMS segment (up to 160 characters) sent through TaskBlink costs $0.018. Similarly, each AI-generated reply is billed at the same rate ($0.018). For example, if you send 5,000 SMS segments in a month, the cost would be 5,000 x $0.0125 = $90, deducted from your prepaid balance.
Auto-Recharge System:
To simplify your experience and ensure continuous service, TaskBlink operates with an automatic balance recharge system. Your account initially starts with a $50 balance. When this balance drops below $10 due to usage, your account will automatically recharge by $50, ensuring your outreach continues smoothly without interruption.
Using Your Own Twilio (Scale Plan):
If you choose to integrate your own Twilio account on the Scale Plan, your SMS message segments are billed directly by Twilio. TaskBlink will continue to bill separately for AI-generated responses at $0.018 each, deducted from your prepaid TaskBlink balance.
Example Scenario:
Let's say in one month, you send 3,000 initial outreach texts (each one segment), plus 500 AI-generated replies. This totals 3,500 segments at $0.0125 each, costing $63 deducted from your prepaid balance. If this usage brings your balance below $10, the system automatically adds another $50 to your balance to maintain service continuity.
Transparency and Control:
You can monitor your usage and balance directly in the TaskBlink dashboard, allowing you to stay informed and manage your costs effectively. If necessary, our team can assist in adjusting your campaign to optimize messaging volume.
This prepaid, automatic recharge system ensures predictability, convenience, and continuous operation, keeping your outreach running smoothly without surprise costs or disruptions.
What is an SMS segment?
An SMS segment is a unit of measurement for text message length, up to 160 characters. Mobile carriers bill SMS messages in segments, which means longer messages are broken down into multiple segments for the purpose of sending and billing. Here’s the breakdown:
1 SMS segment = up to 160 standard characters. This is using the GSM-7 encoding (which covers standard letters, numbers, common symbols). So if your text message is 160 characters or shorter, that’s one segment and is billed as one message.
Messages longer than 160 characters are split into additional segments. For example, a 170-character text isn’t one message – it counts as two segments. Specifically:
0 – 160 characters → 1 segment (one message)
161 – 320 characters → 2 segments (billed as two messages)
321 – 480 characters → 3 segments, and so on. Essentially, every ~160 characters is another segment. Modern phones typically concatenate these so the user sees it as one long text, but the carriers still handle them as multiple SMS in the background.
Why segments matter: Since TaskBlink (and SMS carriers) charge per segment, the length of your messages will affect your usage cost. A short 1-liner text is just one segment ($0.0125 with our pricing). If you send a very long text (say 300 characters describing your whole pitch), that would be two segments ($0.025). We generally recommend keeping messages concise, not just to save costs but also because shorter texts tend to get better response rates. That said, if you need to send something longer occasionally, it’s perfectly fine – just be aware it will count as multiple segments.
Special characters and Unicode: The 160-character segment length applies to standard characters. If you use emojis or certain special symbols (Unicode characters), the limit per segment drops to 70 characters for those messages. This is a technical detail: Unicode texts use a different encoding that uses more data per character. So, for example, a message with an emoji might allow only 70 characters per segment. If you went over 70 with an emoji in it, that becomes 2 segments at 71+ characters, etc. TaskBlink will handle this automatically; just something to note if you love using emojis in outreach (we usually keep it professional, so it rarely comes up).
MMS (multimedia messages): If you ever were to send an image or very long text via MMS, segments are different (MMS can handle ~1600 characters in one message). However, TaskBlink’s primary mode is SMS for initial outreach, as it’s simpler and has higher deliverability for cold contacts. MMS might be used for follow-ups if appropriate (like sending a business card image or a sample portfolio), but that’s on a case-by-case basis and MMS has its own cost (usually higher). For the purpose of most of your campaigns, SMS segments are the key unit.
In summary, an SMS segment is 160 characters of text. TaskBlink’s charge of $0.018 per segment means 160 chars = $0.0125. If you type more, say 240 chars, that’s 2 segments = $0.025, and so on. We don’t charge separately for each segment beyond that calculation, it’s literally pro-rated by segment.
Knowing this, you can strategize your messages. Often the first outreach message might be short and punchy (under one segment), and sometimes follow-ups might be a bit longer if you’re providing more info. But in any case, now you understand how it works behind the scenes. This is a standard practice in the SMS industry, not unique to us. Even on your personal phone, your carrier counts segments (though you might have an unlimited plan so you don’t notice). We just expose it because it factors into how we bill usage.
So, don’t worry too much about segments, write what you need to write to get the message across. TaskBlink will show message lengths and can even warn if a template is going over one segment. We just want you to be informed why a long message might incur slightly more cost than a short one. Ultimately, focus on effective communication; the segment count is a secondary consideration, but it’s good that you’re aware of it now.
Support
What kind of support does TaskBlink offer?
TaskBlink offers comprehensive support to ensure you succeed with our platform, from initial onboarding to ongoing assistance whenever you need it. We pride ourselves on being responsive and helpful, especially knowing that many clients are new to automated outreach. Here’s what you can expect in terms of support:
Onboarding & Setup Support: When you first sign up, we don’t just throw you into the software. We typically schedule a kickoff or demo call to walk you through the system. During this onboarding, we help set up your account properly – integrating your calendar, setting up your lead preferences, and configuring your first outreach campaign. If you’re on the scale plan, we also handle the “Immediate set-up and A2P Approval” process for your texting numbers – essentially getting your phone numbers registered and ready for high-volume texting. We make sure everything is ready to go and tested, so you can hit the ground running. Feel free to ask any questions during onboarding; we’re there to get you comfortable with TaskBlink.
Dedicated Support Channels: Once you’re up and running, support remains available at all times. You can reach out to us via phone or text at 813-508-2197 (our support line) or through email. We also often communicate through our website or in-app chat (if provided). We aim to be very responsive – if you call or text, our team will answer or get back to you promptly. We know that if you run into an issue while outreach is live, you’ll want quick help, and we’re structured to provide that.
Ongoing Guidance and Check-Ins: Our support isn’t just reactive (fixing problems); it’s also proactive. We often check in with clients after a couple of weeks to see how things are going. If your response rate is lower than expected or you have questions about tweaking your campaign, we’re here to advise. We can provide tips on message content (“Maybe mention this in your pitch, it might resonate more”) or on targeting (“We’re noticing better results in X industry, how about we adjust focus there”). In other words, we partner with you to optimize. You’re not left alone to figure everything out – we’ve got experience in cold outreach strategy and are happy to share best practices.
Technical Support: If anything isn’t working right – say, a calendar sync issue, or a bug in the CRM – our technical team will address it. We continually update the platform, so if you ever notice a glitch, letting us know means we can often fix it quickly. We also maintain a help center or knowledge base (accessible online) that covers common questions and how-tos. This documentation is there for quick self-help (e.g., “How do I import my own leads?” or “How to adjust my campaign timings?”), but of course you can always contact us directly if you prefer.
Community and Improvements: We value feedback. Some of our best feature updates have come from client suggestions. When you join TaskBlink, you become part of improving TaskBlink. We encourage you to share any ideas or requests with our support team. You’ll find we listen and often implement changes that make the platform better for everyone. That’s a level of support and openness you might not get with larger, less personal software providers.
In summary, TaskBlink offers a very hands-on, friendly support experience. We know that for many of our clients, this approach to lead generation is new, so we’re here to guide you at every step. Whether it’s a question about how something works, help with refining your campaign, or an urgent issue you need resolved, you can count on us. You can “Call or Text us at 813-508-2197” any time and we’ll be ready to assist. Our goal is to make sure TaskBlink is delivering value to you consistently, and great support is a big part of that promise.
